When using the Certas Energy FoxMobile app, personal data is collected, stored, and processed. We’d like to let you know about our data protection policy in respect of the use of the Certas Energy FoxMobile app and how we intend to handle your personal data. We reserve the right to update this information in the event of changes in legal regulations or business protocols.   1. What we collect and what we do with the information

1.1. Data collected for your user account

To create your user account, you will need to enter the following data which will then be transferred to Fox Insights GMBH, a company registered in Germany, with number HRB 236162, whose registered office is at Ganghoferstr. 66e, 80636 Munich, Germany VAT Reg. No. DE31 48 66 302 where it will be stored in the FoxInsights Cloud and processed by us: 

  • Email, First name, Last name, and Postcode
  • Information about your tank (shape, dimensions, and volume)
  • Optional information: Address and mobile phone number
  • Serial number of the Device

FoxCloud stores and provides data for the functionality of the FoxMobile App. Based on an algorithm, this data will forecast your consumption and will display your oil level through the App.

We need your email address so we can pass on information to you relating to the service, and your correct postcode so that we can provide information on the regional price of fuel oil and give you access to the order function.

You can view and edit your user account details at any time on your User Profile found in the menu.

1.2. Automatic data collection and data transmission

After creating your user account, your mobile device will regularly connect to the FoxInsights Cloud. The following data will be automatically collected in the Certas Energy FoxMobile app, processed, and transferred to the FoxInsights Cloud:

  • Serial number of the Device
  • Data of the mobile device on which the app is running: IP address, system data such as the operating system, software and hardware version, and app version
  • Identification and authentication data
  • Beginning, end, and extent of each use of the Certas Energy FoxMobile app, transferred data volume and whether the process was successful, and possible error reports of the app
  • Measurement data on the filling level
  • Status data of the Device on its functionality, in particular the charge level of the battery and signal strength

Over the course of this connection, data is automatically transferred back to your mobile device, so that this information is shown on the display of the device you are using. You will also receive information by email to the email address you have provided or as a push notification to your mobile phone device.

  1. How your data is collected and automated decision-making.

Your personal data is collected in two ways. When you provide it to us, or when your Device transmits technical data to us. All information is offered voluntarily, however, if you choose not to provide us with the data, we, in return, cannot provide our services to you – in this case, the Device will not work.

We will not make any decisions that are solely based on automated decision-making processes or profiling.

You are free to uninstall the app at any time to stop the transfer of data, and the data on your device can be deleted. Your user account will initially remain in the FoxInsights Cloud. For user accounts that are no longer used, CERTAS ENERGY must request that they are deleted. All identifying information will then be removed. Once this information has been deleted, there will be no way to identify where the information came from allowing the user to remain anonymous. All collected measurements or sensor data are retained for further statistical analysis without any connection to the user.

  1. For what purposes and on what legal basis do we process your data?

We process and store the data collected for the user account and the data from the automatic collection and transmission to technically enable you to use the Certas Energy FoxMobile app, to set up and manage your user account, and so that we can provide you with the agreed information and services concerning your consumption, stock, current market prices, appropriate procurement times. To compile the agreed individualized information, your data will be processed, analyzed and evaluated. This information will be available when you open your Certas Energy FoxMobile app, and in some cases by email or as a push notification on your mobile phone.

The Certas Energy FoxMobile app gives you access to the information stored for you in your user account. You can only access the data using your username and password.

The data transmitted by all Certas Energy FoxMobile app customers is evaluated anonymously. These anonymous evaluations provide a basis for the technical improvement of the Certas Energy FoxMobile app and the optimization of our offered products, services, and marketing concepts. The source or individual from which the information has been collected remains unidentifiable. The anonymous evaluation results do not allow any conclusions to be drawn about your person.

If you have any questions about the installation, the operation, and the technical functions of your Certas Energy FoxMobile app, our customer support may access your data, only as much as is necessary to answer your questions and provide a solution. The information collected will also be used to improve the performance of the Certas Energy FoxMobile app.

Push notifications via Google Firebase

The Certas Energy FoxMobile app uses the technology of Google Firebase, a service of Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Firebase”) for sending push notifications. This allows us to provide you with up-to-date information about our services, news, and relevant advertising by means of push notifications. Push notifications are messages that pop up on your mobile device without opening the respective app.

For this purpose, unique identification numbers are assigned to each end device during the installation of the app for iOS devices and Android devices (known as a “device token” or “Instance ID”). Further data, such as IP address, is not collected. When a push message is sent, the message text and the respective identification number are transmitted to the Apple or Google server. From there, they take over the forwarding of the message to the users’ devices. If you use our apps via a device that is capable of push notifications, you can agree to receive “push notifications” or turn them off in your settings.

Push messages are sent using Google Firebase could messaging based on Firebase Installation IDs only, without sharing any of your personal details.

  1. Who receives your data?

We allow FoxInsights GMBH, a company registered in Germany, with number HRB 236162, whose registered office is at Ganghoferstr. 66e, 80636 Munich, Germany VAT Reg. No. DE31 48 66 302 to process your personal information on our behalf for the purposes of providing you with the Certas Energy FoxMobile app. We put in place controls to ensure that your personal information is only used for the purpose for which we’re sharing it (i.e. to operate the Certas Energy FoxMobile app). Where we want to allow third parties to process or control your personal information for reasons other than those set out above, we will inform you of this and, if necessary, seek your consent to share such information with them. Please also see section 6 of Certas Energy’s general privacy policy for all customers at Certas Energy Privacy Policy which explains what security measures we put in place.

  1. For how long will the data be stored?

When using the Certas Energy FoxMobile app, data is stored both on the device on which the Certas Energy FoxMobile app is installed and in the FoxInsights Cloud.

The inventory data stored in the Certas Energy FoxMobile app on your device remains stored as long as you use the app. Uninstalling or deleting the Certas Energy FoxMobile app from your device will also delete the data in the device memory. Your user account in the FoxInsights Cloud will remain active even if you delete the app. If you install the Certas Energy FoxMobile app again and you log in with your username and password, the data still available will be restored.

We reserve the right to routinely delete user accounts that are no longer in use and have been approved for deletion via the FoxPortal.

The date of data transmissions (date of measurement data on the filling level, date of information we transmit to you) is stored in the user account in the FoxInsights Cloud. The usage data (especially data of the used device including IP address, beginning, end, and extent of usage, possible error reports), which is collected during use of the Certas Energy FoxMobile app, is processed anonymously.

In the case of enquiries to our customer support, all your usage data will be temporarily stored and evaluated in order to answer your query, if and as long as it is necessary for handling the enquiry.
